Task management

Coordinate team work directly inside WebGPT — create tasks, assign them, track progress, and collaborate through comments without leaving the platform.

What task management gives you

A built-in project tool designed for content and site-management workflows. Instead of switching to a separate app, tasks live next to the content creation and integrations work they usually relate to. Useful for multi-user accounts coordinating content calendars, site maintenance, and SEO work; solo users can still use tasks as a personal to-do list.

Creating a task

  1. Open the task form from the Tasks page — either the floating "+" button or New task.
  2. Title the task with a clear, actionable summary ("Write product review for Widget Pro", "Update homepage SEO tags").
  3. Description — Add context, specs, links, or instructions so the assignee doesn't need to ask follow-ups.
  4. Assign to a user on the account.
  5. Priority — High (urgent), Medium (standard), or Low (when time permits).
  6. Deadline (optional) — Overdue tasks are visually highlighted in the table.
  7. Save. The task appears in the list immediately, visible to the assigned user.

Workflow

Three status stages: Open (task defined and assigned, work not started), In Progress (assignee is actively working — signals to the team to prevent duplicate effort), and Completed (work done; stays in the list as a record, filterable out of the active view).

Any team member can update a task's status, though typically the assignee manages their own. Tasks with deadlines are monitored automatically; passing the due date without completion flags the task as overdue in the table.

Star a task to mark it as a favourite — favourite tasks are pinned to the top of the list, keeping current priorities in view no matter how long the backlog grows.

Comments

Every task has a built-in comments thread. Open the task and scroll to the comments section to post updates, ask questions, or share decisions — keeping all context in one place instead of scattered across email or chat.

Read/unread tracking means comments added to tasks you're involved with flag as unread until opened — so team discussions don't slip past. The task list shows a comment badge per row, with a distinct marker for tasks carrying unread activity.
